01

Data controller

SOLAMAC is the controller of the personal data processed on this website. For any privacy matter, contact the board at solamac@gmail.com.

02

Data we collect

We collect only the data needed for each purpose.

Contact form: name, email, category, and the content of the message.

Membership and members’ area: name, email, institution, country, member category, and proof of status as a student or professional.

Annual fee payment: card details are entered directly with Stripe, our payment processor. SOLAMAC does not receive or store your card number.

Site editing: email and password of the board members and authorized staff who edit the content, and a record of the changes they make.

Browsing: technical data, such as IP address, browser type, and pages visited, recorded automatically by the server to keep the site secure and working. The site uses no audience analytics or advertising tools.

03

Data we publish on the site

The site publishes names and, where available, the institution and country of people tied to the history and activities of the society: current and former boards, founding members, committees, Robin Best Award winners (with the title of their work, academic level, and evaluators), and photo authors credited on the Credits page.

This information comes from society documents, from the previous website, or was provided by the people themselves. To request a correction or removal, write to solamac@gmail.com. We reply within 15 days.

04

Purpose and legal basis

We use your data to reply to the messages you send (consent, given by ticking the box on the form); to manage membership, collect the annual fee, and give access to the members’ area (performance of the membership relationship); to let authorized staff edit the site (legitimate interest); to meet legal and accounting obligations (legal obligation); and to keep the site secure (legitimate interest).

We do not sell your personal data and do not use it for advertising.

05

Who we share it with

We share data only with the service providers that help us run the site, always limited to what is necessary: Vercel (hosting), Supabase (database and login), Stripe (payments), and Formspree (sending the contact form).

We may also provide data when required by law or by order of a competent authority.

The site links to third-party services, such as SOLAMAC’s Instagram, Dropbox (abstract books of the Working Meetings), and the Society for Marine Mammalogy website. When you click, you become subject to the privacy rules of those services.

06

International transfers

Some of these providers store data on servers outside your country, including in the United States. In those cases, the transfer takes place with appropriate safeguards, as required by applicable law.

07

How long we keep it

We keep member data for as long as the relationship with SOLAMAC lasts and, after that, for the period required by legal and accounting obligations. Contact messages are kept for as long as needed to reply and follow up. Data published on the site stays as long as it is relevant to the society’s history, unless a correction or removal is requested.

08

Security

We adopt technical and organizational measures to protect data against unauthorized access, loss, or alteration, such as a secure connection (HTTPS), role-based access control for site editing, and protected passwords.

09

Children and teenagers

The site is not directed at people under 18. If you are under 18 and want to join, ask a legal guardian to complete the registration and payment. If we learn that we collected data from a minor without that consent, we will delete it.

10

Your rights

At any time, you may confirm whether we process your data, access it, correct it, request its anonymization, portability, or deletion, withdraw your consent, and object to processing. To do so, write to solamac@gmail.com. We reply within 15 days.

You may also lodge a complaint with the data protection authority in your country, such as the ANPD in Brazil.
